Appointment Cancellation & Non-Attendance Policy
Last reviewed: August 2026
At The Caerleon Foot Clinic, appointment times are reserved specifically for each patient.
We understand that circumstances can change and that occasionally an appointment may need to be cancelled or rearranged. Where possible, we kindly ask patients to provide at least 24 hours' notice.
Cancelling or rearranging your appointment
Appointments may be cancelled or rearranged by contacting The Caerleon Foot Clinic.
Telephone: 07506 954 643
Email: camille@thecaerleonfootclinic.co.uk
Where available, appointments may also be cancelled using the cancellation link contained within your Cliniko appointment confirmation or reminder.
Less than 24 hours' notice
Where an appointment is cancelled or rearranged with less than 24 hours' notice, 50% of the booked appointment fee may be charged.
This charge reflects clinical time that has been reserved for the patient and which may not be possible to offer to another patient at short notice.
The charge is not intended as a penalty.
Where the appointment can be successfully offered to another patient, or where exceptional circumstances have prevented reasonable notice being given, the clinic may waive the fee.
Missed appointments
If you do not attend your appointment and have not contacted the clinic to cancel it, this will be recorded as a Did Not Attend (DNA).
A missed appointment may be charged at 50% of the booked appointment fee.
Repeated missed appointments or late cancellations may result in future appointments requiring advance payment or a deposit before the booking can be confirmed.
Late arrival
Please arrive in sufficient time for your appointment.
If you arrive late, the appointment may need to be shortened so that subsequent patients are not delayed.
Where there is insufficient time remaining to provide treatment safely or appropriately, the appointment may need to be rearranged. Any cancellation charge will be considered reasonably in light of the circumstances.
Illness and exceptional circumstances
We recognise that illness, emergencies and unexpected circumstances occur.
Cancellation charges may be waived at the discretion of The Caerleon Foot Clinic where there is a genuine emergency or other reasonable exceptional circumstance.
Patients should contact the clinic as soon as reasonably possible.
If The Caerleon Foot Clinic cancels your appointment
On rare occasions, the clinic may need to cancel or rearrange an appointment.
Where this occurs, you will not be charged, and any payment made specifically for that appointment will either be transferred to the rearranged appointment or refunded as appropriate.
The clinic will endeavour to provide as much notice as reasonably possible.
Appointment reminders
Appointment reminders are provided as a courtesy and patients remain responsible for remembering and managing their appointments.
Failure to receive a reminder does not automatically remove responsibility under this cancellation policy.
Agreement to this policy
This Cancellation Policy is made available when booking and is available from the clinic and on the clinic website.
By booking an appointment, you acknowledge the clinic's cancellation terms.
New patients may also be asked to confirm that they have been provided with or given access to this policy as part of their new-patient documentation.
Thank you for providing as much notice as possible if you are unable to attend. This allows the appointment to be offered to another patient who may be waiting for care.
